Privacy Policy

Online Car Valuations is a division of Asset Valuations Group (ABN 40 667 565 166). We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy explains what we collect, why, who we share it with and your rights.
What we collect
- Vehicle details you enter: registration number, state and odometer reading.
- Vehicle details we look up: make, model, variant, year, body, engine and similar details from state registration data. We don't collect the registered owner's name or address.
- Your email address, so we can send your report and receipt.
- For Certified Comprehensive Valuations: your name and phone number, the purpose of the valuation, modifications and condition notes you give us, any solicitor or firm and matter reference you provide, and what the valuer sees and records during the video inspection.
- Payment information, collected and processed directly by Stripe. We receive only the payment status and the last four digits of your card, never the full card number.
- Technical information: IP address and browser details, used to prevent fraud and misuse (for example, limiting repeated lookups).
Why we use it
- To identify your vehicle, produce your valuation and email you the report.
- For certified valuations, to let a valuer contact you, book and carry out the video inspection, and prepare and sign your report.
- To process payments, receipts and refunds.
- To answer your questions and resolve problems.
- To prevent fraud, secure our systems and meet legal, tax and accounting obligations.
We don't sell your personal information. We don't send marketing emails unless you have agreed to receive them, and you can unsubscribe at any time.
Who we share it with
We use trusted service providers who handle information only to provide their service to us:
- Stripe: payment processing.
- CarRegistrationAPI: vehicle lookup from the registration number and state.
- Resend: delivery of your report and receipt emails.
- Firecrawl: searching public vehicle listings. It receives only the vehicle make, model and year, never your personal details.
- Our hosting provider: storing order records securely.
Overseas disclosure. Some of these providers store or process data outside Australia, including in the United States, the United Kingdom and the European Union. We take reasonable steps to make sure they protect your information consistently with the Australian Privacy Principles.
Asset Valuations Group. For Certified Comprehensive Valuations, we send your order details to the valuers at Asset Valuations Group, our parent company. We may also disclose information to Asset Valuations Group staff when needed to support any order, or where required by law.
Cookies
Our website does not use advertising or tracking cookies. Stripe sets cookies during checkout to prevent fraud and keep payments secure.
Storage, security and retention
Order records are stored on secured servers and transmitted over encrypted (HTTPS) connections. We keep order and payment records for up to 7 years to meet Australian tax and accounting requirements, then delete or de-identify them. Vehicle lookups that don't lead to an order are discarded after 30 minutes.
Access, correction and complaints
You can ask for access to, or correction of, the personal information we hold about you by emailing us. We respond within 30 days. If you have a privacy complaint, contact us first and we will try to resolve it. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
